STUDENT ACTIVITIES
Booking Student activities and the Campus Activities Board (CAB) typically schedule programs a semester in advance. For example, our fall semester program schedule is finalized by the end of April and our spring schedule is complete by mid-November. Scheduling programs well in advance allows us to concentrate on event details, marketing and promotion. If you are interested in booking an event at Salve Regina you should submit video tapes, CDs or website links to student activities or CAB no later than March (for the fall) and October (for the spring). Once you have submitted your material for review, we will contact you in the event we are interested in booking you or your group for an on-campus event. Every year we send representatives to the NACA Northeast Regional Conference and the NACA National Convention. Our delegates spend considerable time in the Marketplace talking to agents and artists. It is not unusual for CAB to request contracts at the regional and national meetings; however, we feel it is important to involve the entire board in the decision-making process. Student activities and the Campus Activities Board (CAB) are authorized to request performance contracts from agents and artists; however, the university’s director of purchasing is the designated signatory for all contracts. We reserve the right to review and alter performance contracts in consultation with the agents and/or artists involved. Under no circumstances will the university relinquish its right to protect itself from potential liability resulting from the negligent acts of agents, artists or their employees. Depending upon the nature of the activity, the university may request proof of insurance with the university named as additionally insured. Lawn Salve Regina takes pride in offering its guests excellent hospitality. We understand how grueling travel and performance schedules can be, and we want our guests to feel welcome and appreciated. Above all, we look forward to a great show! Artists scheduled to perform at night receive a complementary dinner at Sardella’s Italian Restaurant located on Memorial Boulevard in Newport, Rhode Island. Sardella’s offers an extensive menu of fine Italian and American cuisine. Take-out can be ordered in the event an artist prefers not to eat at the restaurant. Artists scheduled to perform during daylight hours receive a complementary meal from Panera Bread located on America’s Cup Boulevard in Newport. Panera Bread offers a wide range of café and signature sandwiches, soups, salads and bakery items. Meals from Panera Bread are served on campus. Artists with special dietary or other needs should notify either the office of student activities or the Campus Activities Board in advance of their scheduled performance date. We can accommodate most contract riders, within reason; however, we stop short of separating different colored M&M’s and, of course, alcoholic beverages are not allowed on campus. We encourage agents and artists to let us know how we can improve our hospitality service. Feedback is always appreciated. When required, artists contracted by the office of student activities and the Campus Activities Board are provided lodging at the Best Western Atlantic Beach Hotel located at 34 Wave Avenue in Newport, Rhode Island. The hotel is located just off Memorial Boulevard across from Newport's Easton's Beach, and is a short two mile drive from the Salve Regina campus. Once an artist is contracted to perform at Salve Regina, we will provide the agency or artist with a room confirmation number. Agents and artists can contact the hotel directly by calling 401-847-5330 or visiting the Best Western website at www.bestwestern.com Atlantic Beach Hotel Description The Best Western Atlantic Beach Hotel is nestled in a quaint beachfront community. The hotel is a modern 43-room all-suites property. Guest rooms were professionally designed to accommodate the leisure or corporate traveler. The hotel is a mile from the center of Newport's harbor front district and approximately two miles from the Salve Regina campus. Guest rooms overlook Newport's acclaimed Cliff Walk and Newport Mansions as well as Easton's Beach and Pond. There are many dining and entertainment options nearby. Surf shops and equipment rentals abound, with world-class water sports and fishing right around the corner. In general, we will not provide ground transportation for artists arriving by air at Providence's T.F. Green Airport . Agents and/or artists are asked to make the necessary arrangements with one of the several car rental agencies that serve T.F. Green (see below). In emergency situations a staff member will either transport an artist to or from the airport or arrange for an airport shuttle. We include directions to Newport and the Salve Regina campus when mailing contracts to agents and artists. Artists can obtain a Rhode Island map at their car rental counter or at the airport information counter located at the base of the concourse escalators. You may want to use Map Quest or other online travel aids for directions to our campus (www.mapquest.com). We can provide ground transportation between the Best Western Atlantic Beach Hotel and the Salve Regina campus. We also provide transportation to and from off-campus dining sites, if necessary.
