Sending a Message

Ÿ         Select the email tool

Ÿ         Click on Compose message

 

Ÿ         Send to

o       Click on Browse button next to Send to box.

 

o       This opens the Select Recipient window.

 

o       Select name of person to receive message. If sending to more than one person, hold down the Ctrl key while clicking on names

o       Click on Select button

 

Ÿ         Enter a subject

Ÿ         Type message

Ÿ         To avoid scrolling, you can resize the message box.

o       Click on arrow at drop down box next to height of edit area.

 

o       Select number of lines.

o       Click on Resize button.

 

Ÿ         Adding an attachment

 

o       Click on Browse button next to attachments

o       Navigate to file on your computer

o       Select file. Click Open

o       Click Attach file button in WebCT.

 

Ÿ         Removing an attachment

 

o       If you accidentally add the wrong file, click in the box in front of the file name, then click the Remove Attachment button.

 

 

Ÿ         Use the Preview button to see the email as it will be sent. Once an email is sent, it cannot be edited or recalled.

Ÿ         Use the Save Draft button to save the email to be sent at a later time.

o       To edit a draft, click on title in Draft folder. Email opens in new window.

o       Click Edit button.

o       Edit draft and click Send button to send email.

Ÿ         Click the Send button to send an email.

 

 

Reading Messages

 

Ÿ         Click on Inbox

 

Ÿ         Click on title of email

 

 

Ÿ         Email opens in new window

 

Ÿ         Click on Reply to reply to the sender of the message. Attachments are not included in this option.

Ÿ         Click on Forward to forward message to another member of the class. Attachments are included.

Ÿ         Click on Quote if you want to send a message with this message quoted in it. Attachments are not included in this option.

Ÿ         Click on Download to save the message to your hard or floppy disk.

 

Ÿ         To access an attachment

o       Click on See Attached. This opens the attachment window

 

o       To open, click on file name

o       To save to disk, click in circle in front of name, then click the Download button.

 

Ÿ         Use Previous Message or Next Message icons to move through your email without returning to the email main screen.

 

 

Managing Messages

Ÿ         Select option from message options at bottom of screen. (There is a link at the top of the Folder board to jump you there quickly when the page fills up with messages.)

 

Ÿ         To move message to a different folder:

o       Click in box in front of messages you would like moved

o       Click in drop down box next to Move to and select folder name

o       Click Go button

 

Ÿ         To compile messages

o       Click in box in front of messages you would like to compile into one file

o       Click Compile button

 

Ÿ         To change status of message

o       Click in front of message

o       Click on Mark as unread or Mark as read button

 

Ÿ         To delete selected messages

o       Click in box in front of messages you would like deleted

o       Click Delete button

 

 


Managing Folders

If you need to organize your email beyond the typical inbox/outbox, you can create folders.

Ÿ         Go to the Actions menu on the main email page

 

Ÿ         To create a folder

o       Under Options: Folders click on Create folder button

o       Type in folder name

o       Click Create button

 

Ÿ         To delete a folder

o       Click radio circle in front of folder name

o       Under Options: Folders click Delete folder button

 

Ÿ         To delete all messages from a folder

o       Go to Actions menu on main email page

o       Click in front of folder name

o       Under Options: Messages, click on Delete messages button

 

WARNING: the Delete all messages button at the bottom of the Actions menu deletes every message out of every folder.
