SERVICES FOR EMPLOYERS
Work Study Program - Instructions
SUPERVISORS
All supervisors should make every effort to ensure a productive and
enriching experience. Students should be aware of the job expectations
and their responsibilities at the time of hire. Stress should be placed
on cooperation, dependability and attitude. Proper working conditions
and training must be provided. Supervisors must maintain accurate records
for time sheet preparation and attempt to be as flexible as possible
with schedules, the primary focus being on educational objectives.
ON-CAMPUS
All on-campus departments must submit annual budget requests to the
Business Office and indicate the amount of funding needed for student
employment. The number of students each department can employ should
be determined by the department budget. Bi-weekly reports will be sent
from Career Development to keep departments informed of budget usage.
The budget applies to the fiscal year July 1 – June 30, therefore,
this should be taken into consideration when hiring for summer.
OFF-CAMPUS
Any non-profit, non-political agency may employ Federal Work-Study students.
Any agency interested in employing students should contact Darlene Fletcher
at Career Development (401) 341 – 2405, for details. If the agency
is eligible, a College Work-Study Agreement and Job Description Form
will be sent to them. Additional paperwork may be necessary. Time sheets
will be sent from payroll when a student is hired.
PAY DIFFERENTIALS
Students returning to the same department as the prior year, who have
had specific training or had been taught a special skill may be eligible
for a rate differential. This rate differential is based on merit and
performance and is determined by the supervisor as recognition for a
job well done. These changes will be made only at the beginning of a
semester.
HIRING PROCEDURES
Supervisors will be asked to post their job(s) on our on-line database in time for activation on the first day of classes. Students will then apply on-line for any position they are interested in. If you hire or rehire a student, complete a Work Authorization Form or Rehire Form on-line in the Document Library. The student may have additional forms to complete before he / she can begin to work. No student will be allowed to begin work until all paperwork is complete and on file in Career Development. Once the student has completed his / her paperwork, the supervisor will receive a timesheet from payroll. Make copies of the timesheet as necessary. Timesheets are due in Payroll on dates specified on the Payroll Schedule (copies can be obtained from Career Development). Students are allowed to work 10 (ten) hours per week (20 per pay period) during the fiscal year.
